Polymorph technology enables Practice Plan to automate services to private dental practices across UK

Polymorph has developed a bespoke system for leading independent dental plan provider, Practice Plan Limited, to ensure it offers more efficient services to clients, which include, UK practices, dentists and patients. The new system automates business processes and eliminates manual tasks, which has enabled Practice Plan to slash collection and payment time with speeds now over 20 times faster than before the development.. Practice Plan can now offer sophisticated and customised plans to each dentist and practice that cover new services, such as facial aesthetics and corporate plans as well as tailored reporting for each of its clients.
Having looked at a variety of options, including systems from Microsoft as well as off-the-shelf solutions, Practice Plan decided its current platform was a key element to the future of the business and chose Polymorph for its expertise in this particular technology. The new solution designed by Polymorph consolidates Practice Plan’s siloed applications to provide a single data repository accessible to all members of staff, and addresses its increased volume and flexibility requirements.
“The 2006 NHS reforms caused a large number of dentists to leave the public sector and set up their own private practices, which directly impacted Practice Plan’s business. We went from dealing with 330,000 patient records to 565,000+ in 12 months. With further growth of a potentially similar magnitude expected, Practice Plan needed to implement a system that could handle the very high transactional volumes we deal with,” commented John Cawrey, Head of IT at Practice Plan.
“Polymorph has designed the solution in a way that, despite the large volumes, we are able to offer customised service plans for each of our client practices, provide accurate, up-to-the-minute information to all our staff, including our mobile sales force, and more importantly, extend our service offerings in the future, such as the ability for dentists and patients alike to view their accounts online and check activity statuses,” added John Cawrey.
Dentists would usually have regular payment plans for their patients, either via monthly DD or annual cheques. With the increasing non-dental services practices are offering, Polymorph’s solution enables Practice Plan’s clients to track, manage and view the different new payment plans they are providing. It has also allowed the organisation to set up new cancellation tracking, payment confirmation and customer survey services for the dentists.
